How ordering a sworn translation works

Ordering a sworn translation takes one form: you upload the document, choose the language pair and the options, and pay online. A translator listed in the Rbtv register then prepares the translation with the sworn statement. Standard delivery takes 5 to 7 working days from the moment the payment is received.

Before you order

Find out two things from the authority that will receive the translation. First, which language it wants: a Dutch municipality wants Dutch, but the IND also accepts English, French and German. Second, whether it wants a paper original with a wet stamp or accepts a PDF.

Then make a scan or a photo of every page, front and back when the back carries a stamp. The translator works from what is visible, so a cropped corner means a missing line in the translation.

Placing the order

In the order form you select the document type and the two languages and upload the file. PDF and Word files are accepted, and so are images such as JPG, PNG and HEIC. The form shows the price before you pay.

You then choose how you want to receive the translation. Registered post within the Netherlands costs €9.95 and is free from €299. A digital copy by e-mail is a separate option at €9.95 per document. If the document goes abroad you can add an apostille for €99. All amounts exclude VAT.

What happens next

Your document goes to a translator who is sworn for that language pair. If a name, a date or a stamp cannot be read, the translator may ask you about it by e-mail before finishing. Please answer: a guessed spelling is an easy way to be sent back at the counter.

The translator attaches the statement, stamp and signature and binds the translation to a copy of the original. With standard delivery you have it within 5 to 7 working days. No work or shipping takes place at the weekend.

If you have a deadline

Two faster options exist, both at a surcharge that the order form shows. The standard remains 5 to 7 working days; the rush option brings that down to 2 to 3 working days for every language. For Dutch and English or French only, an express order placed before 12:00 on a working day is dispatched within 24 hours.

Put the date of your appointment in the notes field of the order, so that the translator knows what you are working towards.
